License Activation & Device Management
How to activate your license, bind devices, migrate to a new computer, and resolve activation issues.
CrossMeet uses a license_key activation model. This doc covers the full flow.
1. Get your license
After successful purchase, your license_key arrives via two channels:
- Email:
[CrossMeet] Your license keylands in the inbox you registered with - Dashboard: sign in to the account dashboard to view the License Key
Format example: CMK-7F3A-B92D-4E18-5C6A
⚠️ license_key is your account token, equivalent to a password. Don't share, don't post screenshots publicly.
2. Activation flow
- Launch CrossMeet desktop app
- Click Settings → Licensing on the left
- Paste your key in the License Key field
- (Optional) fill Device Name (e.g. "Office PC") for easier management later
- Click Activate
- Wait 3-5s for network verification
- Green "License active" + "Devices: 1/2" — done!
3. Device quota
Default device count per license:
| Plan | Default devices |
|---|---|
| Pro Monthly | 2 |
| Pro Yearly | 2 |
| Pro Lifetime | 2 |
| Team | 2 per named seat |
On activation, CrossMeet generates a hardware fingerprint (HWID) — no personally identifiable information. HWID is bound to your license.
4. Heartbeat mechanism
After activation, CrossMeet periodically checks the entitlement in the background and refreshes it as the local token approaches expiry:
- Verify license validity
- Update subscription status (renewal / refund / pause)
- The local token is valid for 7 days, followed by up to 14 days of offline grace; reconnect before that window ends
Before an extended offline period, make sure the entitlement has completed a recent online check. There is currently no publicly supported permanent-offline license.
5. Switching computers (device migration)
Scenario A: Old computer still works
- On the old computer: Settings → Licensing → click Deactivate (release the slot)
- On the new computer: install CrossMeet → Settings → Licensing → paste key → Activate
Scenario B: Old computer is dead
- Sign in to Device Management
- Find the old device name (e.g. "Office PC"), click Release
- Activate on the new computer
6. View & manage devices
Open Device Management:
- Lists all bound devices: name, partial HWID, activation time, last heartbeat
- Click Release to free a slot
7. Renewal & upgrade
Renew Monthly / Yearly
- Stripe subscriptions renew automatically; Alipay and WeChat purchases use manual renewal
- Domestic-channel subscriptions receive one reminder 5 days before expiry; use Subscription Management as the current source of truth
- Request end-of-period cancellation for Stripe from Subscription Management
- After cancel, license stays valid until current period ends (no refund, but remaining days preserved)
Upgrade plan
- Monthly → Yearly: pay difference, takes effect immediately
- Yearly → Lifetime: pay difference, instantly converts to lifetime
- Use the upgrade option currently shown in Subscription Management
Refund
Full refund within 14 days, no questions asked. After refund, license is invalidated immediately and bound devices stop within 24h.
8. Team / Enterprise license
Teams of 5+ use the Team plan: named seats — one person per seat, each with its
own licence and 2 devices.
- Invite, assign, reclaim and reassign seats yourself under Account → Team
- Reclaiming a seat revokes that person's licence immediately, so it can go to someone else
- Seats added mid-term end together with the main contract
For seat counts beyond the standard Team plan, or formal procurement, contact
enterprise@crossmeet.com — see Enterprise.
9. FAQ
Q: "Invalid license key" on activation
- Check spelling (avoid 0/O, 1/I confusion)
- Check if key was refunded / invalidated
- Email support@crossmeet.com to verify
Q: "Device limit exceeded"
- All slots used. Release an old device (§5/§6) and retry
- Or upgrade for more slots
Q: Heartbeat fails / "License expired"
- Check that
license.crossmeet.comis reachable - Check firewall isn't blocking outbound HTTPS
- Check system clock is accurate (large drift causes verification fail)
Q: When migrating, do my settings & history transfer?
- License migration and local-data migration are separate. Before moving devices, use the export or backup capabilities currently exposed by the client; do not assume the account page synchronizes settings, history, glossary, or knowledge-base data.
Q: Multiple users on one PC?
- Same Windows account using same license: doesn't consume extra slots
- Different Windows accounts are recognized as different devices, each consumes a slot
Q: Offline environment usage?
- Registration, activation, and some entitlement checks require a network. The repository does not support a public promise of permanent-offline licensing or private deployment; contact support to assess a constrained network environment.
10. License security tips
- Don't share: license_key equals your account password
- Don't commit to public code: never push to git, never screenshot in groups
- Lost key: open the account dashboard to view it again; if the account is compromised, contact support to freeze it immediately
- Suspicious activity: if you see an unfamiliar device, release it immediately in Device Management and change your password
